Terms and Conditions

  1. Booking and Reservation

To confirm a reservation, a booking form must be completed and a deposit received. A booking is accepted subject to the receipt of written confirmation of availability by Charis Tours. A non-refundable deposit of 30% of the tour fare is needed to secure your booking. Once we have received proof of deposit payment, then we confirm the booking. Final and full payment must be made 40 days prior to Departure. We accept cash payments, and bank transfers. In cases of cash payment in Malawi Kwacha, note that we use the higher buying rate of the commercial money bureaus. Please note, a 1% tourism mandatory levy will be added to the total bill of all Safaris

  1. Cancellation and Refunds

Should you need to cancel a reservation, a written notification is needed. Cancellation charges will take effect from the date of receipt of written Cancellation.

  • More than 40 days prior to departure -Loss of deposit
  • Between 40 days to 21 days prior to departure -60% cost of service due
  • Between 20 days to 0 days prior to departure -100% cost of service due

Whilst the company uses its best endeavors to ensure that all anticipated accommodation is available as planned, there should be no claim of any nature whatsoever against the company for a refund either in the whole or part, if any accommodation or exclusion is unavailable and a reasonable alternative is not found. If the guest is un able to use any service provided in the itinerary, then there are no refunds due.

 

  1. Surcharges

Charis Tours reserves to increase the tour cost considering the following:

  • Government decisions
  • Currency fluctuation
  • Fuel Surcharges

Any increase increases up until the date of departure are to be paid by the passenger. No surcharge will be imposed within 40 days to departure

  1. Children Policy

Children under 10 years travel 50% of the adult rate. In cases where a child occupies his/her own room, they pay full adult rate.

  1. Changes Made by Charis Tours

The company reserves the right at any time to change or cancel any of the facilities, services or prices described in the brochure/tour package/website and to substitute alternative arrangements of comparable monetary value or charge a supplement locally if alternative arrangements cannot be made without compensation to the client and accepts no reliability to the client whatsoever for the cost or loss of enjoyment because of those changes. i.e. changes or cancellations can be made due to severe weather conditions, political or social instability, and when payment is not made by due date(s).

  1. Cancellation by Client

After a booking has been confirmed, client may cancel or reschedule the booking or reservation at any time, provided the cancellation or changes have been communicated in writing. Charis Tours will make every effort to accommodate your request based on availability.  However there may extra costs involved to accommodate your request. Cancellation charges will be applied from the day when written notice is received by the company. Dates as stated on the cancellation charges written above.

  1. Passport and Visa

It is the responsibility of the clients/Tour participants to ensure that passports and visas are valid for the countries visited. Charis Tours cannot be held liable for any visas nor costs of the Visas, etc. not held by the guests.

  1. Health

Any disease precautions should be commenced prior to departure. Please consult your Doctor or Pharmacists before travelling

  1. Insurance

It is a condition of booking, that the sole responsibility lies with the Tour Client to ensure that they carry the correct comprehensive travel and medical insurance to cover themselves, as well as any dependants/travelling companions for the duration of their trip to Africa. This insurance should include cover in respect of, but not limited to, the following eventualities: cancellation or curtailment of the safari, emergency evacuation expenses, medical expenses, repatriation expenses, damage/theft/loss of personal baggage, money and goods. Charis Tours representatives and agents will take no responsibility for any costs, losses incurred or suffered by the guest, or guest’s dependants or travelling companions, with regards to, but not limited to, any of the above mentioned eventualities. Guests will be charged directly by the relevant service providers for any emergency services they may require, and may find themselves
in a position unable to access such services should they not be carrying the relevant insurance cover.

  1. Responsibility

Completion of our booking form is an acknowledgement that the tour participants have read, understood, and accepted the Terms and Conditions. The company will do its best to make sure all services and hotels are satisfactory. All bookings with the company are subject to the Terms and Conditions limitations of liability imposed by our suppliers. All tickets and vouchers are issued subject to the Terms and Conditions under which our suppliers provide their services. The terms of your contract are those Terms and Conditions under which the other suppliers provide their service. Charis Tours does not accept any liability of whatever nature for the acts, omissions and/or default whether negligent or not of any operators, hotel companies, airlines or other persons providing services in connection with your tour. Charis Tours does not accept liability for injury, damage, delay, loss or additional expenses incurred directly or indirectly due to events beyond our physical control including war, civil unrest, and nature, unusually serve weather, acts of Government/authorities. In addition the Company shall have the right at any time at its discretion to cancel any safari or the remainder thereof or make any alteration in route, accommodation, price or other details and, in the event of any safari being rendered impossible, illegal or inadvisable by weather, strike, war, government or interference or any other cause whatsoever, the extra expenses incurred as a result thereof shall be the responsibility of the passenger. The Company may at its discretion and without liability or cost to itself at any time cancel or terminate the guest’s booking and in particular without limiting the generality of the afore-going it shall be entitled to do so in the event of the illness or the illegal or incompatible behavior of the guest, who shall in such circumstances not be entitled to any refund. The person making any booking will, by the making of such booking, warrant that he or she has authority to enter into a contract on behalf of the other person included in such a booking and in the event of the failure of any or all of the other persons so included to make payment, the person making the booking shall by his/her signature thereof assume personal liability for the total price of all bookings made by him/her.
